The best way to staff an Austin hotel for SXSW and spring break in 2027 is to plan for both together, as one busy week. SXSW and the spring breaks for Austin ISD and UT Austin all start on Monday, March 15, 2027, so festival guests and spring break families will be in town at the same time. Plan each department separately, because the two groups of guests add different work to each one. Start arranging extra staff about three months ahead. Then schedule a few buffer staff beyond what the plan calls for, so a call-off does not leave a department without enough people.
At Tumi Hospitality, we have been headquartered in Austin since 2005. Starting your staffing plans about three months ahead is what we recommend for major Austin events, because many downtown hotels look for extra staff during the same week.
When are SXSW and spring break in 2027?
SXSW 2027 runs from March 15 to 21. Spring break starts the same day and ends on March 19 for Austin ISD and on March 20 for UT Austin. SXSW brings guests who stay several nights and keep late hours. Spring break brings families, faster room turnovers and more traffic at breakfast and at the pool.

Because the Austin Convention Center is closed for rebuilding until its planned 2029 reopening, SXSW held some sessions in downtown hotel meeting space in 2026. SXSW is likely to use downtown hotel meeting space again in 2027. If your hotel hosts SXSW sessions, count the setups and meals they need in your banquet forecast and your food and beverage forecast.
How much extra staff does an Austin hotel need for SXSW?
The amount of extra staff your hotel needs comes from your own forecast for SXSW week. Build the forecast night by night from your rooms on the books, your group and event contracts, and your numbers from last March. Then turn the forecast into labor hours for each department, using the productivity standards your hotel already works with. Compare those hours with the hours your current team can work without overtime. The difference between the two is the number of hours you need to fill with extra staff.
Forecast each night separately, because SXSW demand is not the same every night of the event. In 2023, Austin’s luxury and upscale hotels reached 92% occupancy on the second day of SXSW, their highest occupancy of that year’s event. Your busiest night in 2027 may not be on the second day of SXSW, because spring break families arrive the same week. If SXSW and spring break fell in different weeks last year, your SXSW numbers from last March will not include the spring break families you should expect in 2027.
For example, take a hypothetical hotel that expects 280 rooms to clean on one day of SXSW week. If that hotel’s standard is 15 rooms per room attendant per shift, it needs about 19 room attendants that day. If its regular schedule has 14 room attendants working, it is 5 people short. If the same gap holds for all seven days of SXSW, housekeeping alone needs 35 extra shifts. Multiply the 35 extra shifts by the length of a shift to get the number of hours to fill.

Use your own standard in place of the 15. If your hotel sets different standards for checkout rooms and stayover rooms, work out each one separately. Then do the same math for every other department. Start from the numbers each department already plans with: expected covers for restaurant and bar staff, arrivals and departures for front desk agents, and banquet event orders for setup crew and banquet servers.
When March is over, write down what each department actually needed, so next year’s forecast can start from real numbers.
Which hotel departments need the most extra staff during SXSW?
Housekeeping usually needs the most added staff, because SXSW and spring break both add to its work in the same week. Banquets and events need careful planning too if your hotel hosts SXSW sessions, because the sessions add conference setups and meal service during a week when the hotel is already full. Every other department gets busier as well.
| Department | What SXSW brings | What spring break brings | What to plan for |
|---|---|---|---|
| Housekeeping | Daily stayover service for multi-night stays; service later in the day for guests out late | More checkouts, with rooms needed quickly for the next arrival | Room attendants for stayovers and checkouts, plus some later-starting shifts |
| Front desk | Heavy arrivals in the opening days; late-night traffic | More check-ins and checkouts from short family stays | Extra agents on peak arrival and departure days; a fully staffed overnight shift |
| Food and beverage (hotel restaurants and bars) | Late-night bar business; attendee meals at hotels hosting sessions | Busier breakfasts; more poolside orders where offered | Breakfast servers, late-night bartenders, pool service coverage |
| Banquets and events (at the hotel) | Room sets, resets and meals at hotels hosting sessions | Families come as leisure guests, so banquet work comes from events already contracted | Setup crew and banquet servers sized from banquet event orders |
| Stewarding and laundry | More dishes from bars, attendee meals and banquets | More sheets and towels from checkouts and the pool | Stewards and laundry attendants matched to total covers and room turnovers |
The work in stewarding and laundry rises with the work in every other department, so plan those two last, using the restaurant, banquet and room numbers you have already forecast.
When should you start planning SXSW staffing?
Start in mid-December 2026. That leaves time to build the forecast, teach people new tasks and arrange added staff before other hotels ask for the same people.

- December: Build a first forecast for each night of SXSW week, and turn it into labor hours by department. Decide which gaps you will cover with cross-training, extra shifts, your own seasonal hires or a staffing partner. If you plan to use a partner, send your dates and rough numbers now.
- Mid-January: Update the forecast with new bookings and signed group and event contracts, including any SXSW sessions in your meeting space. Start cross-training, so people have time to practice before March.
- Mid-February: Confirm final numbers by department and date with your staffing partner. At Tumi, filling a request with people who are new to your property takes two to three weeks, so confirming a month ahead leaves a week or two for changes.
- March 1: Post the SXSW week schedule with buffer staff included, and send commute and parking plans with it. Have uniforms, keys and system logins ready for every added person, and plan a short orientation to the property for the start of their first shift.
- SXSW week: Check staffing in each department at the start of every shift, and move buffer staff to where the work is heaviest.
How can you add staff for March without adding year-round headcount?
You can cover the extra work in March without adding year-round headcount by using any mix of cross-training, extra shifts, your own seasonal hires and a staffing partner. Choose an option for each gap in your forecast, based on how many people the gap needs and how many days it lasts.
| Option | Good for | Watch for |
|---|---|---|
| Cross-training | Days when one department is much busier than another | Adds no hours; each person you move leaves a gap in their own department |
| Extra shifts | Small gaps, covered by people who already know your property | Overtime once people pass 40 hours; tired staff by the end of the week |
| Your own seasonal hires | All-week gaps you want filled by your own employees | Hiring takes time; after March you keep the headcount or hire again next year |
| A staffing partner | All-week gaps across several departments, for the peak weeks only | Needs a few weeks’ notice; same-day help only from staff already available; new people still need to learn your property |
Extra shifts get expensive when a gap lasts all week, because every hour someone works past 40 in a workweek is paid at time and a half or more.

How many buffer staff should you keep for call-offs?
Base the number of buffer staff on your own call-off history, and plan for a few more during SXSW week. Start with how many people in each department called off on a typical day last March, and schedule at least that many extra people for each day of SXSW week.
Staff have more reasons than usual to miss a shift during SXSW week. Road closures downtown make commutes longer. Austin ISD schools are also out for spring break that week, so staff with school-age children may need to find childcare.
You can also reduce call-offs from your own team before the week starts. Set time-off rules for SXSW week early, and decide on every request before you post the schedule. Tell your team what your call-off policy will be that week. Ask anyone who expects a conflict, such as childcare during spring break, to tell you early so you can plan around it.
Put buffer staff where one missing person causes the most trouble. In housekeeping, one absence leaves a full section of rooms without a room attendant. In banquets, the event starts at its set time, so a missing server means the rest of the team covers more tables. Decide ahead of time which buffer staff will be on the schedule and which will be on call. Also choose who calls in the on-call staff and who assigns buffer staff to departments each shift.
For a same-day gap, turn to your buffer staff first, then to your staffing partner for same-day call-off coverage.
How will your staff get to work downtown during SXSW?
Plan the commute with your staff before SXSW week, because street closures make getting downtown take longer. In 2026, road closures around SXSW shut parts of Sixth Street and Red River Street for almost a week. Part of Congress Avenue stayed closed for more than a week. Only the Congress Avenue closure began two days before the festival opened. Most closures lasted until the morning after the festival ended. The 2027 closure dates have not been published yet, so plan for closures that begin as early as two days before SXSW opens.
Once the 2027 closures are announced, send them to your staff along with where to park or where to be dropped off. If the 2027 closures are still not published when you post the SXSW week schedule, share the 2026 closures as a guide. Tell staff you will send the 2027 list as soon as it is out. Staggering shift start times by department also helps, because fewer people are trying to reach the hotel through the same closed streets at once.
How a staffing partner helps with SXSW and spring break
A staffing partner adds people for the peak weeks and reduces the number after March, so your hotel does not carry extra headcount the rest of the year. At Tumi Hospitality, we add team members for peak seasons in housekeeping, at the front desk, in hotel restaurants and bars, and in stewarding and laundry. For hotel banquets and events, we provide banquet servers and setup crew for events as small as a 50-person wedding or as large as a 500-person conference. Every person we add is a Tumi W-2 employee with full benefits, so we handle payroll and benefits for the added staff.
We also cover last-minute call-offs. As the largest hospitality staffing firm in Texas, we recruit continuously in Austin and keep a pool of available staff for Austin hotels to draw on when someone calls off.
With added people in place, your managers can do their own jobs during SXSW week. A housekeeping manager who spends the week cleaning rooms is not inspecting rooms or handling guest requests. Our guide on how to stop managers from covering housekeeping shifts explains the problem in more detail.
Frequently asked questions
Does Austin ISD spring break line up with SXSW in 2027?
Yes, Austin ISD’s spring break lines up with SXSW in 2027. The district’s spring break runs from March 15 to 19, and SXSW runs from March 15 to 21, so both start on Monday, March 15. UT Austin’s spring break, from March 15 to 20, falls in the same week.
How far ahead should a hotel request extra staff for SXSW?
Share your dates and rough numbers with your staffing partner about three months ahead, which is mid-December 2026 for SXSW 2027. Send final numbers to your staffing partner by mid-February. At Tumi, filling a request with people who are new to your property takes two to three weeks, so a month’s notice leaves time for changes.
Can a staffing partner cover same-day call-offs during SXSW week?
A staffing partner can cover some same-day call-offs, but only from staff it already has available. Many Austin hotels need extra help during SXSW week, so a partner may have fewer people free for same-day requests. Schedule your own buffer staff for the week, and treat same-day help from a partner as a backup.
